Terms of Service

These Terms of Service ("Terms") govern your access to and use of AI Meet Live, operated by VAStaffer ("we," "us," or "our"). By creating an account or using the service, you agree to these Terms.

1. The Service

AI Meet Live provides AI-powered meeting participation tools, including:

• AI personas that join video meetings (Zoom, Google Meet, Microsoft Teams) via a bot
• Real-time transcription, note-taking, and meeting summarization
• AI voice responses when the persona is addressed by name
• A knowledge base for your personas to reference during meetings
• Post-meeting minutes, action items, and ask-AI functionality

The service is provided on a credit-based subscription model. Credits are consumed when your AI persona is active in a meeting, at a rate that varies by meeting mode.

2. Accounts

Eligibility: You must be at least 18 years old to create an account. By registering, you represent that you meet this requirement.

Account security: You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. Notify us immediately at support@aimeet.live if you suspect unauthorized access.

One account per person: Each account is for individual use. You may not share your login credentials.

Team accounts: The Business plan allows you to invite team members to share access to your personas and credits. Each team member must accept these Terms individually.

3. Credits and Billing

How credits work

Credits are the unit of consumption for the service. Each meeting mode consumes credits per minute of active bot time:

Credits are deducted from your balance in real time while a bot session is active.

Subscriptions

Subscription plans renew automatically on a monthly or annual basis. You authorize us to charge your payment method on each renewal date. You may cancel at any time from your dashboard; your plan remains active until the end of the current billing period.

Credit packages

Pay-as-you-go credit packages are purchased outright and do not expire. Credits from packages are consumed before subscription credits.

Free credits

New accounts receive 100 complimentary credits upon registration. These credits expire 30 days after account creation.

Refunds

Subscription fees are non-refundable except where required by law. Credit packages are non-refundable once purchased. If the service experiences a verified outage that causes credit waste (bot joins but fails to function), we will credit your account at our discretion.

Failed payments

If a payment fails, we will retry the charge over the following 7 days. If payment is not recovered, your account will be downgraded to the free tier and bot functionality will be suspended until billing is resolved.

4. Acceptable Use

You agree not to use AI Meet Live to:

• Join meetings you are not authorized to attend or record
• Deceive meeting participants in ways that could constitute fraud or misrepresentation
• Collect or harvest personal information from other meeting participants without their knowledge and consent
• Violate any applicable law, including wiretapping and recording consent laws in your jurisdiction
• Transmit illegal content, malware, or material that infringes third-party intellectual property rights
• Attempt to reverse engineer, scrape, or circumvent the service's technical protections
• Resell or sublicense access to the service without our written permission

Recording consent: Many jurisdictions require all-party consent to record conversations. You are solely responsible for ensuring that participants in meetings your AI persona joins have been informed of and consented to recording and transcription. We do not provide legal advice on recording consent laws.

AI persona conduct: You are responsible for the behavior of AI personas you configure, including the knowledge base content they reference and the responses they generate. Do not configure personas to impersonate real individuals without their consent, spread misinformation, or engage in harassment.

5. Meeting Data and Privacy

By using the service, you understand and agree that:

• Your AI persona joins meetings as a visible participant with a name and avatar you configure.
• Meeting audio is processed by our meeting bot provider and converted to text transcripts delivered to our servers.
• Transcripts and minutes are stored encrypted in your account under your regional data jurisdiction.
• You are responsible for disclosing to meeting participants that an AI recording and transcription tool is present.

We do not use your meeting content to train AI models. Transcript data is used only to provide the service features you have configured.

6. Intellectual Property

Your content: You retain ownership of all meeting content, transcripts, persona knowledge base entries, and notes generated through the service. You grant us a limited license to process and store this content solely to provide the service.

Our content: The AI Meet Live platform, including its software, design, and documentation, is owned by VAStaffer and protected by intellectual property law. You may not copy, modify, or distribute our platform without written permission.

AI-generated output: Meeting minutes, summaries, and AI responses are generated using large language models. We make no warranty as to their accuracy. You are responsible for reviewing AI-generated content before relying on it.

7. Availability and Warranties

We aim for high availability but do not guarantee uninterrupted service. The service is provided "as is" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.

We are not responsible for:

• Third-party platform changes that affect bot functionality
• AI provider outages that affect response generation
• Network conditions outside our control that affect meeting bot performance

8. Limitation of Liability

To the maximum extent permitted by applicable law, VAStaffer shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to lost profits, lost data, or business interruption, arising from your use of the service.

Our total aggregate liability to you for any claims arising under these Terms shall not exceed the amount you paid us in the 12 months preceding the claim.

9. Indemnification

You agree to indemnify and hold harmless VAStaffer and its officers, employees, and agents from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the service, your violation of these Terms, or your violation of any third-party rights.

10. Termination

By you: You may delete your account at any time from Settings → Account → Delete Account. Deletion is permanent and irreversible.

By us: We may suspend or terminate your account immediately if you violate these Terms, engage in fraudulent activity, or if required by law. In non-urgent cases we will provide 7 days' notice before termination.

Upon termination, your data will be retained for 30 days (to allow for appeals) and then permanently deleted.

11. Governing Law

These Terms are governed by the laws of the State of Texas, United States, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Texas.

EU users: Nothing in these Terms limits any rights you have under applicable EU consumer protection law or GDPR.

12. Changes to These Terms

We may update these Terms from time to time. For material changes, we will notify you by email at least 14 days before they take effect. Continued use of the service after changes take effect constitutes acceptance of the updated Terms.
